🛠️ How I Built a Tool to Protect Invoices from Unauthorized Access

Invoices seem harmless — just PDFs attached to emails, right?

That’s what I thought too… until I started looking at how easily invoice PDFs can be intercepted, altered, or misused. These documents often contain sensitive data: customer names, amounts due, services provided, even account numbers. Yet most businesses, especially small ones, send them out completely unencrypted.

After seeing how often clients forwarded invoices over public Wi-Fi or relied on generic cloud links, I realized something needed to change.

💡 The Idea: Lock the Invoice Before It Leaves Your Desk

I wanted a solution that was:

  • Simple for small businesses to use
  • Secure enough to protect confidential data
  • Offline — no reliance on cloud storage or third-party platforms

That’s how Secure Invoice Guard was born.

🔐 What It Does

  1. Encrypts PDF Invoices using AES-level password protection
  2. Assigns unique passwords to each customer (stored securely)
  3. Sends encrypted invoices via Outlook with a clean, customizable email
  4. Tracks delivery and errors — no guesswork, no gaps

I built it in Python with a full-screen, modern PyQt5 interface that even non-tech-savvy users can operate.

🤯 Challenges Along the Way

  • Fighting with Microsoft Defender SmartScreen warnings during install
  • Teaching users why encryption matters before a data breach
  • Making the software lightweight but robust

It wasn’t easy — but it’s working. Every day, Secure Invoice Guard helps freelancers, bookkeepers, and SMEs send invoices with peace of mind.

📣 Why I’m Sharing This

If you’re a business owner or freelancer who:

  • Sends invoices by email
  • Cares about your clients’ data
  • Wants to avoid the risk of PDF tampering or interception

… then this might be worth a try. There’s a free trial and no hidden nonsense.
