Developed a support agent to streamline communication at work. Now live on our internal site.

I am part of the operations and support team at a SaaS company, and it seems like every week I am bombarded with the same internal inquiries:

  • "Where can I find the refund policy?"
  • "What are the grace period guidelines?"
  • "Is the XYZ discount still available?"

We have resources scattered throughout various platforms like PDFs, Notion, and helpdesk exports, but most people prefer to ask me directly instead of searching for themselves.

As a side project, I started developing a small tool called nextforce that can access our internal files and provide answers to these common questions with just a simple upload and inquiry.

We implemented it on our internal support portal, and the results have been surprisingly positive. Employees are using it daily to save time on searching for information and repeating the same responses in Slack.

I'm not trying to promote anything, just sharing my experience because I never realized such a basic solution could significantly reduce the need for context switching.

I'm curious if others are facing a similar information overload and what strategies have worked for you in managing it.

I am also open to exploring additional use cases for this tool, so if you have any repetitive tasks that could benefit from automation, I would love to hear about them.
