HOA board members- how do you deal with access to utility bill information? [IN] [SFH]
My HOA recently changed management companies. The new management company is having issues with a utility company not allowing them to change the mailing name and address for the bill because they are not the “authorized agent”. Said company won’t even allow them to make a payment on the account! The authorized agent is an employee of the LAST management company who is currently under investigation for financial crimes, so this is not easily corrected.
We had two similar issues in the past weeks with two other utility companies. It is extremely inconvenient to go through ONE PERSON for any kind of access to any of our utilities. These utilities won’t give out any information even if board members have the address, account number, name on the bill, etc.
Is this a common issue for other HOAs? We are not sure if this is a result of our former management company (and the fraudster employee who possible set it up to limit board members’ access to information) or if this is a common issue with utility companies. Do you add all board members as authorized agents?
