Workflows for small nonprofit

General

I started working for a nonprofit foundation 4 months ago as the third employee after the ED and Assistant AD who have been working there together for 4 years.

The ED is more of a visionary, is overcome by her inbox, calendar, and tasks and spends her days putting out fires. The AD started out as an executive assistant and was just promoted this past spring. He has more of an organized brain but doesn’t have the tools or understanding of processes to be efficient. Neither of them understand technology and while they have Office 360, have not used any of the tools outside of Outlook. They deal in paper lists, printed out emails, and inefficiency.

Up until recently, this has worked because the scope of the organization was just giving out grants. But in the past year, they have taken on a couple of major projects/programs that quickly outgrew their capacity. I am now stepping into the role of Programs and Communications Manager but am also trying to help us implement some organizational structure which they are totally open to and want me to do.

My current plan is to implement some pieces of EOS from the book, Traction, but would love to hear some of your more basic workflows and rhythms that make your organizations run smoothly. I’m talking basic basic because nothing is currently in place. I’m starting us off with a Planner board, a weekly meeting, and setting quarterly goals that go along with our strategic plan (that we do have thanks to our Board).

Help?
