I’ve been thinking a lot about how much time small businesses unknowingly lose because of broken workflows. A recent situation I observed showed how easily this can happen.

Question

A small team of about 15 people was constantly missing deadlines. Everyone was working hard, but the system they were using required information to be copied across multiple tools: spreadsheets, emails, task managers, shared folders — nothing was connected. Every mismatch created rework, and managers had very little visibility into where things were getting stuck.

What stood out to me was that the real issue wasn’t effort or skill. It was simply the way the workflow had evolved over time without structure. Once some steps were clarified, tools were streamlined, and a bit of automation was introduced, the team suddenly had more breathing room. They regained roughly 20 hours a week, mistakes dropped, and daily operations felt less chaotic.

What surprised me most was how simple the fixes were. Small adjustments can have a huge impact when processes have become too spread out or unclear.

I’m curious how others here have handled situations where normal work starts feeling way more complicated than it should be. What ended up helping your workflow the most?
