Reception venue has permeated my subconscious...I'm having dreams about canceling the whole thing

Vendors/Venue

I know I'm not unique in having difficulty planning my wedding, but at the beginning, it was all SO simple that I was deluded into thinking the whole thing would be easy. Feel free to roll your eyes at my naivety. For context, we're getting married in our small college town in a chapel on campus then having the reception at a spot in town. The space for the reception is owned by a hotel group that also operates a few little restaurants in town. Our invite list is 120, so we're expecting probably 100 people to actually show.

When we started planning the reception, everything was a literal dream. The reservation fee was pretty cheap by many standards, the F&B minimum was pretty low, and because the location is part of a restaurant, the food would all to be done in house. The original guest services manager offered us what seemed to be a great room block (15% deposit on the rooms due, and a discount on the rooms for guests as well). Even though we'd have to rent chairs for the space, the original in house event planner we'd be reimbursed a certain amount that would have covered all but 50 cents per chair. I set a date to do a food tasting for about 6 weeks or so after we sign the venue contract...and cue the unraveling.

My parents and fiancé came to the tasting. The food was not good by any standard of the word, which surprised us because the restaurants are absolutely incredible. While at the tasting, my dad asked about the room block because he had trouble getting in touch with the guest services manager and had never received a contract based on what she'd offered him. Come to find out, she had quit working there. Okay fine, we'll talk to someone else.

In the meantime, we decide we need to go another route with the food. The contract states that food must be done in house unless approved by the general manager. After a few weeks of extremely difficult negotiating, the GM finally said we could bring in a caterer. I understand that the GM would be protective over the in house services, but at the end of the day, if we just pay the F&B minimum anyway, who cares? Why would you want your client's guests to be subject to an inedible meal? The GM has been rude to our caterer and is really dragging his feet on getting a contract together for them to be able to come in. In the words of our caterer, it's obvious he doesn't want them there.

Around this time, the original event planner quits. We finally get in touch with the new guest services manager, who sends us a contract for the rooms. Now, the rooms are 150%–200% more expensive than the original quote and require a 50% deposit for booking. What? This guy tells us the new price is reflective of the 2026 pricing scheme...the wedding was always in 2026 when we were originally discussing this plan, so what gives?

Now concerned about everything, I ask the new event planner what the chair reimbursement is because the number is not in the contract. She tells me it's half what I was originally quoted (not her fault, she's new and has been nice, so I don't blame her). So now, I have to wonder whether the venue will actually hold all our guests, a band, and the dance floor in the way the original planner told me it would. She kicks my inquiry up to her boss, who has already been incredibly terse with both me and my dad through this whole process.

Part of me feels like I'm overreacting by being so stressed about food, chairs, and hotel rooms, but I HATE that these people think they can continuously dishonor their original quotes and pull the rug out from us at every turn. Because this is such a small town, they essentially have a monopoly over all services like this.

I've had multiple stress dreams about the wedding so far (forgetting to order flowers, guests dying, not doing a rehearsal, etc.), but last night really took the cake. I dreamt that we just canceled the whole reception and did a ceremony only. How I wish!
