Procurement tracker excel sheet

I procure steel structures and accessories for solar, wind and hybrid power plants (ipp). My components include MMS, Inverter/scb frames, fasteners, HR steel plates for wtg tower, tower rings (arranging tpi as well),, service lift for tower (along with installation), cable sealing kits, internal assembly of Tower and Fabrication of the WTG Tower. Currently I'm tracking these components on a broader scale for eg in tons of sets. The drawback is that the sheets are not reflecting specific discrepancy eg I've shortfall of 30 rafters at a project and 6 purlin3 half table at another project. This problem is glaring in wtg components where each shell has its own specification. Another challenge is tracking these invoice wise eg my PO qty is 16000 Ton and invoices are in the range 20-50 ton which leads to too many invoices to track for lc claims approval, payment approval and material status.

Any ideas on how to streamline all the details w/o making filling up Excel sheets my only task of the day
