Purchase Order Change Order – New Line Sequence Not Maintained

Integration

Hello,

During our testing with third party vendor Trimble, we observed that new lines added to a Purchase Order (PO) through the Submit_Purchase_Order_Change_Order web service are not created in the same sequence in which they are sent.

While I understand that providing explicit line numbers in the request does not guarantee that Workday will assign them exactly as sent, the expectation is that the new lines would still follow the order of the input data.

I reviewed the following Knowledge articles regarding how Workday regenerates line numbers when creating new PO lines for an existing PO:

- Submit_Purchase_Order_Change_Order Web Service Ignores Line Numbers for New Lines – Article 000044346
[https://workday.my.site.com/customercenter/article?no=000044346&redirect=false]

- WWS: Submit_Purchase_Order_Change_Order_Request - Line Numbers for New Lines – Article 000021504
[https://workday.my.site.com/customercenter/article?no=000021504&redirect=false]

Example : PO-1 – Two new lines were added to this PO.
- Item D was sent as line 4 but created as line 3 in Workday.
- Item C was sent as line 3 but created as line 4.

When reviewing the change order event in the process history, the lines appear to have been sent in the correct sequence, yet they were interchanged on the resulting PO.

Because the lines in Workday do not always reflect the order sent from Trimble, the PO details between both systems become misaligned. This lack of synchronization can lead to downstream issues, particularly during invoice matching and reconciliation.

Has anyone else encountered this behavior? Were you able to apply any workarounds or configurations to ensure the new PO lines are created in the same order as they are sent through the web service?

Or is there a way to issue a purchase order after creating a change order for just one line, and then create a change order for another line?

For example, if a PO has two lines requiring change orders, could we perform the following within the same integration event?

  1. Create the change order for the first line
  2. Issue the PO
  3. Create the change order for the second line

 Thanks,

Allen
