Migrating to Opera Cloud 24.2
Hello again! So, recently we got the news that we're going to be migrating to Opera Cloud 24.2.0.0 from Opera PMS 5.6.19.18. As the night auditor, I just want to make sure I can adapt my current workflow as efficiently and as accurately as possible, to be able to shorten that awkward in-between phase, and focus on improving it with my new tools.
I will admit that I'm rather proud of my current workflow. I work in a hotel with roghly 350 rooms, and my predecessor only regularly checked the rates of the rooms, while I as a receptionist helped them by shouldering some of their responsibilities. Currently, I have expanded the audit to also check PMs nightly (previously this was done monthly by another department), to check any charges made directly to rooms, to make note of any charges that were not made to guests, to confirm the legitimacy of bank deposits and cash payments, to personally check no-shows (previously done by receptionists), and to organize the register cards before putting them away (again, previously done by receptionists)-- all of which I'm doing alone and within roughly the same time frame as our previous auditor.
To manage this, I rely heavily on reports and Opera's internal history.
When I start my shift, after I have organized my paperwork, I generate the following reports:
-Rooms (Occupied, Vacant)
-Arrivals: Detailed (all fields marked)
-Guests INH - By Room (Notes, Accompanying): Since we don't have an IT department during the night shift, I generate these first three reports so that the front desk can use them in case Opera bugs out during our shift)
-Guests INH - By Room (None marked): I use this report to ensure that all register cards are present and accounted for, taking the time to separate them by today's arrivals, tomorrow's departures and later departures.
-Guests PM Account - By Room: I use this report to compare it with the previous audit's report, to be able to quickly determine any changes in balance, or any PMs that were opened, closed or moved during the shift.
-Group Rooming List (Notes, Rates, Packages [-Checked Out, -Cancelled, -Cancel]): Of course, I use this report to be able to quickly determine which rooms are covered by PMs as part of groups. These are usually the first rooms I check, cross-referencing them with our reservation department's info to make sure everything was loaded correctly.
-Journal By Cashier And Transaction Code (All financial posts): I use this report to ensure that all Cash, CXC and Bank Deposit movements made during the day were printed, have their corresponding paperwork, etc
-Zero Rate Rooms
-Departures (Notes, Checked Out, "From" time set to roughly 1630): In our hotel, we have to charge a late check out to guests that want to leave after 1500. If it wasn't charged, admin unfortunately has to do an investigation to make sure that the receptionists didn't pocket the amount, which has been a problem in the past.
When I find that a PM has had a balance change, I check the Posting History to ensure that funds were not transferred between it and another account without previous authorization (which has also been a problem in the past, and which was sometimes done for cover-ups)
I then use the User Activity Log to see which reservations checked in before 1200 (which also has to be charged), and which ones were extended-- by copying the confirmation numbers from all corresponding Arrival Time, Arrival Date, Departure Date and Length Of Stay movements.
If a PM has been extended, I ensure that the packages are disabled so that no charges will be accidentally loaded.
Before checking the reservations, I generate the following report:
-Journal By Cashier And Transaction Code (All transactions except financial: organized by Room No and Check No): Since my audit of the guest reservations mainly focuses on that day's arrivals, I use this to ensure that no charges were incorrectly loaded into any reservations, and that I have all the receipts from our facilities.
When checking reservations, I use Changes to ensure that the rate was not modified or otherwise initially applied by a non-authorized user.
After checking the reservations and checking no shows, I generate:
-Room Moves: To ensure that no guests were given unpaid upgrades
Afterwards, I move onto the daily credit card balance, and I then generate:
-Rate Changes (Outbound date, Checked In)
-Rate Changes (Inbound date, Checked In): Both reports, of course, to ensure that no reservations had their rates modified, including by my shift's receptionists.
Then:
-Journal By Cashier And Transaction Code: Just to ensure that nothing was loaded incorrectly while I was doing my audit.
I then check the movements of my shift's receptionists to ensure that I can check any check-ins or extensions they did after I checked general reservations.
Finally, I am asked to generate the following reports:
-Financial Transactions By Generates (Visa- MasterCard)
-Financial Transactions By Generates (AmEx)
-Financial Transactions By Generates (Direct Bill - CXC)
-Financial Transactions By Generates
-Journal By Cashier And Transaction Code (Organized by Transaction Code)
-Forecast
-Deposit Activity
-Deposit Ledger
-Group Rooming List
-Rate Variance (With A Variance Only, Pseudo Rooms, Summary Pages, Market Code)
-Guest Ledger
-Guest In House Rate Check (With A Variance Only, Pseudo Rooms, Summary Pages)
-Guests INH - By Company (Pseudo Rooms)
-Guests INH PM Accounts - By Room
-Zero Rate Rooms
-Credit Limit
After rolling the date, I generate the following as well
-Trial Balance
-Manager - Flash (Date To Month)
-History And Forecast (Current Month)
-Reseration Summary
-Rooms (Occupied, Vacant)
-Arrivals: Detailed (All Fields Marked)
-Guest INH - By Room (Notes, Accompanying)
-Guest Balance Snapshot: These final four reports are, like I do at the beginning of the shift, to ensure that front desk can keep operating even if Opera goes screwy.
Really, what I want is to make sure that these reports and tools will still be available or, if not, what their equivalents would be in Opera Cloud 24.2.0.0. I'm even open to constructive criticism and suggestions as to how I can improve my workflow! :D
