Wedding Contract – Need Advice on High-Risk Clauses!

Venue

Hi everyone,

I’m reviewing a contract with a wedding venue we love, but a few points stand out and I wanted to see if anyone has dealt with similar:

1. Force Majeure / Rescheduling
Deposits may apply to a new date if a “force majeure” occurs, plus admin fees. No mention of refunds. I’ve asked them to clarify, but they revised to only offer an alternate date. We’ve followed up for more clarity. Should we consider wedding insurance as a next step since this venue is a top choice for us otherwise?

2. Liability / Damages
We’re responsible for damages caused by guests or vendors, but the contract doesn’t clearly define what counts as “chargeable damage.” Did your venue provide examples or set limits?

3. CPI / Pricing Adjustments
Menu & beverage pricing can change with the Consumer Price Index. Is this typical, or do some venues allow prices to be locked in closer to the event?

4. Facility Management Fee
There’s a 20% fee on all food and beverages, but no gratuity included.

5. Late Stay / Vendor Rules
Penalties for going past end time ($500/15 min) and strict vendor load-out rules. The deadlines themselves are standard, 1:30AM for guests, 2AM for vendors—but penalty feels strict.

6. Space & Exclusivity
The venue can substitute alternate spaces on the property, but now they added “with written notice and approval,” which seems fair?

Questions:

  • Are these clauses typical in Toronto?
  • Anyone successfully requested changes that worked in their favour?
  • Would you recommend wedding insurance to protect against deposit/cancellation risks, or in general?

Thanks in advance! I want to feel confident before signing.
