from constantly overwhelmed to actually running my businesses like i have a team...all because i learned to use ai the right way
i don't usually post stuff like this but something shifted for me recently and i feel like i'd want someone to have told me this sooner so here it goes:
About a year ago i was juggling like 4 different things. a digital magazine, a startup concept, freelance design work, trying to convert my house to an airbnb — and i was drowning. not like "busy" drowning, like actually couldn't finish anything, couldn't focus, kept starting and stopping. the mental load of running everything solo was just too much.
i'd tried chatgpt and honestly wasn't impressed. felt like i was just getting generic stuff back and i didn't really know what i was doing wrong.
then i started actually learning how to prompt properly with claude and everything kind of changed. i'm not a tech person. i don't code. i barely knew what an api was. but i started asking better questions and holy crap the difference was insane! Stuff I thought i needed to hire people for, I was suddenly doing myself. i wrote my entire airbnb listing in like 20 minutes. i built out a complete content strategy for a client. i drafted a sponsorship pitch that actually got a response. i wrote product descriptions, email sequences, social captions — all stuff that used to take me days and honestly sometimes i'd just avoid it altogether because it felt overwhelming.
The thing nobody tells you is that the prompts are everything. like the quality of what you get back is almost entirely determined by how specifically you ask and how much context you share with your ai.
So, here are some of the actual prompts i use that made the biggest difference for me.
Copy and paste these, and just fill in the brackets with your own details:
For when you need a week of social content fast:
"write a 7-day social media content calendar for my [type of business] targeting [ideal customer]. one post per day with caption, best platform, and posting time. my brand voice is [describe]."
For cold outreach that doesn't sound like a template:
"write a cold outreach email to a [type of potential client]. under 150 words, focused on their benefit not my pitch, one clear ask at the end. no generic openers."
For when someone leaves you a bad review and you want to respond without sounding defensive:
"write a response to this customer complaint: [paste it]. my policy is [describe]. warm and solution focused, not defensive."
For reactivating leads who ghosted you:
"write an email to someone who inquired about my [product/service] [x months] ago but never bought. warm, not pushy. under 200 words."
For writing your own SOP so you stop reinventing the wheel every time:
"write a standard operating procedure for [task]. numbered steps. include: the goal, what's needed before starting, each step, and how to know when it's done correctly."
Honestly, I could go on forever. i have like 100s of these organized by category now — social media, email, sales, operations, strategy — that i use across all my different projects.
the tldr is that ai isn't magic but the right prompts kind of are? i went from feeling like i was always behind to actually feeling like i have leverage for the first time
happy to answer any questions about specific use cases in the comments, or if anyone wants the whole list of prompts i use just say so and i'll share where to find them
