The hidden cost of mail-driven invoice delays in AP (and why it’s still a problem in 2026)
Came across an interesting breakdown of something a lot of AP teams deal with but don’t always quantify: the cost of mail-driven invoice delays.
A lot of companies still rely on physical mail (or fragmented inboxes) for incoming invoices. That creates lag before invoices even enter the workflow, and that delay has ripple effects:
- Late payments: missed early pay discounts + vendor friction
- Manual handling: higher labor costs (AP can account for ~60%+ of processing cost)
- Lost or duplicate invoices: rework, errors, and even service disruptions
- Lack of visibility: finance teams can’t accurately forecast cash flow
Even small inefficiencies stack up. Some estimates show manual invoice processing can cost anywhere from ~$12–$35 per invoice, vs. a fraction of that when automated.
What stood out to us is that the biggest delay isn’t approval. It’s often just getting the invoice into the system in the first place.
Once companies digitize intake (mailroom & workflow), they tend to see:
- Faster approvals
- Fewer errors/duplicates
- Lower processing costs (sometimes dramatically)
