Project organization questions/ comments/ concerns?

Hey all, I've been cubasing for a good number of years, but I'm horribly messy, and all of my messiness is baked in through practice. Just trying to see if what I'm thinking about is worth it or if someone has a simpler method than what I thought up.

I've never saved a project file or folder as anything other than a chronological or sequential marker. It's a bitch but it works cause I've got a bunch of staff notation written out I the same format. Like I said, its a well practiced system.

I had been working more with vsts, but lately I've been doing some guitar and bass stuff for a particular project - so a lot more audio. Since I don't have names and I'm kinda lousy on guitar I'm getting disorganized. Literally everything is saved under "project name - track number" and I'll just open a template any time an idea gets flowing.

My simple solution was to make a track named A Theme and play that riff or whatever on one instrument for one cycle or whatever makes sense for the piece (ideally 15-30 seconds). Just a scratch track that lives in the audio pool so when I open the audio files from the project folder in windows, the top will be "A Main" and I can listen to that in VLC really quickly. I've been doing it with full takes which is annoying cause I have to look for one that's a real take (maybe I should be clearing out unused takes too) and then the theme or anything that makes me remember what the hell I was doing might be 2 or 3 minutes in, I know it sounds bad, but it is bad.

Am I skipping something? Is there an easier process than me literally just remembering? I really don't know how this sub will take that, maybe I'm just projecting my own insecurities lol. I'm just trying to find what works best for my style. Would there be a way to move that particular file from the audio files sub folder to the project folder through automation? Or to an entirely external folder? Like if I had them all accessible in one folder and could play it from a playlist? They might show up funny with all of them being named main... but I could name them after the project folder by naming the audio track after that. Omg that would seriously change my life.

Sorry, my abstractions of ideas kinda take hold and drag me on for the ride. But would something in automation do that? I'm not really good with it but I'm willing to put in some work if it makes the process benefit.

Anyway, thanks for reading and hope you have some constructive thoughts. There's a lot of trash in the world and I cherish the minds of this sub. I've never met a cubaser I haven't liked. But I've only met like 3.

I'm pretty good with figuring out how stuff works, I just don't want to spend a lot of time doing office work if it's not going to make it much better. So I'm just seeing if anyone has thoughts on the whole thing?

I'm running cubase 13 pro on an old win 10, outdated hardware all the way down, if that matters.
