How do you manage client context across different tools in an agency?

I’m curious how other agency teams handle this.

Most of the time, when someone takes over an existing client or goes back to an old project, they have to search through Drive, Slack, email, ClickUp/Asana, meeting notes, and sometimes even ask the person who worked on it before.

The issue is not just finding the file.

It’s finding the full context around the client:

  • what was requested
  • what was approved
  • what feedback was given
  • where the final files are
  • why certain decisions were made
  • what has already been tried
  • what notes or details matter for the next step

When everything is scattered, it takes a lot of time to reconstruct the client history.

If all the files, notes, decisions, feedback, and project context were easier to find in one place, it would make handoffs and follow-ups much easier.

For people working in agencies: how do you manage this today?

Do you use a specific tool, a clear internal process, or is it mostly a mix of Drive, Slack, Notion/ClickUp, email, and team memory?
