FAQ: The questions every service business owner asks about AI (answered straight)

Pinned🛠️ Workflow / How-To

“Do I need to be technical to use AI in my business?”
No. The highest-ROI automations — missed-call text-back, review requests, appointment reminders, lead reactivation — are all configurable in off-the-shelf tools. If you can set up a Facebook page, you can set these up.

“What should I automate first?”
Whatever loses you the most money. For most service businesses that’s missed calls. An owner who misses 5 calls a week at a $300 average ticket is leaving $75K+/year on the table. Missed-call text-back is usually the first win: cheap, fast to set up, instantly measurable.

“How much does this cost?”
Useful automations start around $50–300/month depending on tools and volume. Anyone quoting you $2K/month for “AI transformation” before identifying a specific revenue leak is selling you a retainer, not a result.

“Will AI replace my front desk / CSRs?”
No — it catches what they miss. After-hours calls, simultaneous calls, follow-ups nobody has time for. Your team handles the conversations that need a human.

“Is ChatGPT enough, or do I need special tools?”
ChatGPT is great for writing and thinking. It doesn’t answer your phone, text your leads, or watch your calendar. Those need purpose-built tools connected to your systems. Different jobs, different tools.

“How do I know if it’s working?”
Pick one number before you start: recovered calls, rebooked patients, review count, response time. If a vendor can’t tell you which number their tool moves, walk.
