How I bypassed the slow Notion mobile app by logging expenses and invoices via WhatsApp voice notes.

:api: API / Integrations

I run my entire life and freelance business out of Notion. It’s the ultimate single source of truth. But let's be honest: the Notion mobile app is way too heavy when you're on the go.

If I'm at a coffee shop and need to quickly log a business expense or generate an invoice note for a client, opening the app, finding the right database, clicking "New", and typing into 5 different properties takes way too long.

Since I practically live inside WhatsApp, I spent the last few weeks building a custom integration between the WhatsApp API and the Notion API to act as a remote control for my workspace.

The Setup: I have three main hidden databases: Clients, Invoices, and Expenses.

Instead of opening Notion, I just send a voice note to my custom WhatsApp bot. For example: "Hey, create a $500 invoice for John Doe."

Behind the scenes, I have a script running that uses an AI parser to strip the intent out of the audio and map it to my Notion properties. Within 2 seconds, the Notion API creates a new row in my Invoices database, tags "John Doe" (Relational DB), sets the amount to $500, and my Notion dashboard updates live.

It completely eliminated the friction of mobile data entry. My Notion stays perfectly organized, and I don't have to type out dates or select tags from dropdown menus on a small screen anymore.

Has anyone else played around with hooking up messaging apps to the Notion API? I had to do some weird workarounds to get relational database properties to map correctly from plain text.

Also, curious how others handle API rate limits when doing bulk updates.
