The Problem Isn't your Tools. It's your System.
The biggest bottleneck to productivity isn't a lack of tools.
It's the overwhelm of adopting them.
New platforms launch every week. Yet for many people, technology still feels like another system to learn instead of a problem to solve.
Every so often I stop and ask myself: what's the objective? Live to work? Drown in meetings? More apps? Or simply a better way to live?
Most of the time, the problem isn't the tools themselves. It's the absence of a clear operating system for how you work and live. Work shouldn't be our identity, and these systems should relieve us of that.
If you haven't designed your own system, everything becomes more noise. AI is incredibly powerful, but without a workflow built around how you think and operate, it often adds complexity instead of removing it.
I keep coming back to Jason Yuan's idea of Mercury OS for this reason.
I've been testing this with Excalidraw, Run, and Google Sheets.
Instead of forcing my invoicing into a CRM that wasn't built for my workflow, I created a Google Sheet that mirrors exactly how I work: different billing routines for different clients, custom revenue tracking, and my own approval process.
Run scans it every day, generates invoices, updates my records, and sends everything to me for review.
Another workflow runs monthly, mapping my revenue, expenses, and projections into an Excalidraw flow chart the way I actually think, not how a preset dashboard assumed I would.
That was the shift.
The tool adapted to my system instead of forcing me to adapt to its assumptions.
You don't need more software.
You need a system that helps you think clearly, move efficiently, and lets your tools work the way you do.
