What worked for our growing business when we tried hiring faster (without the process falling apart)
Mid-sized business owner here. We went through a stretch where we needed to grow the team quickly and basically everything that could go wrong with hiring did. Learned from that and made some meaningful changes that I think would be useful to talk about for those of you in the same boat.
-
We decided upfront which roles we'd run internally vs bring in outside help for. For anything technical or specialized we stopped pretending our internal process was good enough. Time to fill on those searches dropped significantly once we stopped trying to do it ourselves.
-
We wrote down what good looked like after every hire. Not a job description, but what actually made that person the right call in hindsight. We referred back to those notes on subsequent similar searches and it made calibration so much faster.
-
We made one person accountable for driving each search to a close. When it was everyone's responsibility it was effectively nobody's. Assigning a single owner to each role changed how quickly decisions got made.
-
We set a time limit on how long a search could run internally before we pulled in external external help. We used to let searches drag for months before admitting they needed a different approach. Putting a four-week internal window forced earlier decisions.
-
For the specialized roles we started using Paraform and it helped specifically because we weren't re-explaining the same technical context from scratch every time. The recruiters had placed similar profiles before which made the early stages of the search much faster.
None of this is revolutionary on face value, but once you start doing the small things consistently, that's when you see a meaningfully distinct outcome. Happy to answer any questions.
