How do you currently manage the business side of tutoring?
Hi everyone — I’m researching how independent tutors manage the day-to-day running of their tutoring businesses, particularly in the UK.
I’d love to understand what your current setup looks like:
How do parents discover and contact you?
How do you manage bookings, recurring sessions and cancellations?
How do you collect payments and handle missed or late payments?
What do you use for parent communication?
How do you share resources, homework and session feedback?
If you teach groups, how do you organise learners and keep parents updated?
Which tools do you rely on—spreadsheets, WhatsApp, email, Calendly, TutorBird, Teachworks, or something else?
What takes up more time than it should?
Is there anything you wish one platform handled for you?
I’m especially interested in the awkward workarounds and small recurring frustrations—not just the major problems.
For transparency, I’m exploring a platform designed to help educators run small-group learning communities, but I’m not looking to promote it here. I want to understand how tutors actually work before deciding what should be built.
Any experiences would be genuinely helpful, whether you tutor full-time, part-time or alongside teaching.
