I love my main workspace for organizing everything, but keep reaching for a different tool when a doc has to leave it and look good
This is not a Notion hate post. Notion runs my entire internal life, wiki, tasks, notes, all of it. But I have noticed I keep looking for a notion alternative for one specific job, and I think it is worth naming the seam.
The seam is shareable, presentation-quality documents that go to people outside my workspace. Clients, partners, anyone who does not live in Notion.
Where Notion is genuinely the right tool for me: - Connected databases, relations, rollups. Nothing I have tried touches this. - My private knowledge base and project tracking. - Anything that needs to link to twenty other things I already have in there.
Where I reach for something else: 1. A polished one-pager or proposal a client will actually look at. Notion pages are functional, but they read as “internal doc” more than “designed document,” and shared links can feel a bit bare or slightly off-brand to an outside reader. 2. When I want the same content to also work as a quick deck or a simple page without rebuilding it. 3. When the person on the other end should not need a Notion account or a tour to read the thing.
For that specific job I usually reach for Gamma, because I can paste rough content in and get a clean, shareable doc or one-pager out that does not look like a raw wiki page. Being honest about the tradeoff so this is not a plug: it is nowhere near Notion for structured databases and interlinked knowledge. It is a document and presentation tool, not a second brain. So it lives next to Notion for me, not instead of it.
The framing that helped me stop shopping for a full replacement: Notion for the system I live in, a lighter doc tool for the artifacts that leave it.
For those who use Notion heavily, do you also hit this “it has to leave the workspace” wall, and what do you switch to when you do?
