Has anyone figured out how to apply to a high volume of jobs without everything becoming a complete mess?

Three months into applying for research positions is usually where things start falling apart, no way to track which resume version went to which company, which applications got a follow-up, or what the outreach messages even said.

The spreadsheet approach tends to hold together for about two weeks before it turns into partial entries and color coding nobody remembers the meaning of.

What actually helps is treating document storage as the first problem to solve before anything else. Separate folders by role type, not by date. One current version of each CV and cover letter per category, everything else archived.

For tracking, a Kanban-style board works better than a spreadsheet ever does, just columns for each stage with a card per job. Seeing twelve cards sitting in Applied with nothing in Follow-Up is a lot more motivating than a number sitting in a spreadsheet cell.

On outreach, writing two versions of an opening message and rotating which one goes to different contacts in the same week isn't scientific, but after a few rounds a pattern shows up in which framing actually gets replies.

None of this requires a special tool. It mostly comes down to deciding upfront which parts of the process need real judgment and which ones are just repetitive.

What broke first for you when volume got high enough?
