If your service billing runs 30+ days behind the work, that’s not an accounting problem. It’s an information problem.

Real story from one of our customers, a commercial mechanical shop:

Every job lived in a colored folder. If something wasn’t on the original ticket — a change order, extra material, a second visit — it got lost. Nobody was lazy. Nobody was bad at their job. The folders just couldn’t hold a commercial operation.

Another shop told us their purchase orders were literally pieces of paper clipped to tickets. Apprentices clocked into the wrong jobs. A fire protection contractor got 2–3 months behind on service billing — and when they finally billed it out, they weren’t even capturing everything they could have billed.

Here’s the uncomfortable part: none of these shops thought they had a problem. They thought this was just what running commercial service looks like. Busy isn’t the same thing as disorganized — but it leaks money the exact same way.

If your service billing is more than 30 days behind the work, that’s not an accounting problem. It’s an information problem.

The pattern when it gets fixed is boring and repeatable: work gets documented once, in the field, and billing follows the work instead of chasing it. One MEP shop went from 45 days-to-invoice to same-day. Another cut receivables from 90–120 days down to about 30.

BuildOps is field service + project management built specifically for commercial contractors — hvac, mechanical, electrical, plumbing, fire life and safety.
