How to Outsource Accounts Payable Invoice Processing to a Virtual Assistant Safely?
I run a small business and spend way too much time every month tracking down invoices and receipts for bookkeeping.
Some vendors automatically send invoices to my business email, so those are easy to forward to a VA or process with an automation.
The bigger headache is vendors that only make invoices available inside their dashboards. I have to log in, sometimes using Google sign-in or 2FA, find the billing section, download the invoice, and then save it for bookkeeping.
I'd like to outsource this accounts payable invoice processing to a virtual assistant, but I'm not comfortable giving someone access to my main Google account or sharing passwords for multiple business tools.
For small business owners who have successfully outsourced this, how do you handle access securely?
Do you create separate user accounts for your VA where possible? Use a password manager with shared access? Set up a dedicated billing email? Or is there a better workflow that keeps sensitive accounts protected while still allowing a VA to collect invoices?
I'm curious how others have solved this without turning a simple monthly admin task into a security risk.
