Italy Schengen Visa from Colombo (Minor's Birth Certificate) – Did we miss the legalization step?

Question

We submitted our family Schengen tourist visa applications at VFS Colombo on September 3rd for a 2-week trip to Italy. Our flight is scheduled for September 25th.

We are traveling with our minor child. We got the child's birth certificate attested by the Ministry of Foreign Affairs (MOFA) and submitted it. We also signed the parental consent form directly at the VFS counter.

However, we just realized that the Italian Embassy checklist mentions that minor documents must be fully legalized (which usually involves translation and the IOM/VFS legalization process). At the VFS counter, the staff accepted our MOFA-attested document without saying anything or asking us to complete the legalization process. Our visa agent didn't flag it either.

Has anyone traveled to Italy with a minor from Sri Lanka recently using just a MOFA-attested birth certificate for a tourist visa?

  • Did the Embassy process it smoothly, or did they send a deficiency email asking you to legalize it while holding the passport?
  • If they asked you to fix it, how long did they give you, and did it delay your passport return?

Any advice or recent experiences would be greatly appreciated as our travel date is coming up fast! Thank you.
