Handling exec who declines internal meetings

Advice

Howdy folks! I had a question I thought you all might be able to assist with.

We have an exec who is not our CEO but arguably more important. Her calendar is always packed with meetings and projects etc. My boss is the CEO of the organization and she reports directly to him.

We have an issue where she will decline meetings (one on ones with our CEO and leadership meetings) with my boss and our leadership team without communicating it otherwise. The leadership meetings are regular weekly standing meetings with limited flexibility, the one on ones are much more flexible and I never mind moving them. Also, we are stuck with outlook and Microsoft products for context.

My issue is that if she declines his meeting, I don’t get a notification for it and it becomes my fault that she wasn’t there. I am generally of the opinion that if you’re going to miss a meeting your boss expects you at, it’s your job to communicate and get permission from your boss rather than declining lol, but obviously our busy execs aren’t beholden to the same standards as everyone else.

She also has an admin on her team who manages her calendar, but I’ve been here longer, so responsibility and blame falls to me. Before the new admin started I was partially supporting her calendar, but she’s “too busy” to communicate so she did most of her own calendar management I would say, but I would do scheduling and booking when she needed which is also why this kind of thing ends up being my problem.

We found a solution for the one on one’s, we decided to send them from my email but the leadership meetings just annoy me because any of the other members of leadership would have to communicate to our CEO to let them know they’d miss the meeting.

Sorry this has turned into more of a rant, but I thought I’d check in to see if someone had a better suggestion than just me sending the meetings from my email.
