17 Instagram tools sorted into the six jobs they actually do, with pricing and the catch on each
Most Instagram tool roundups rank thirty products against each other, which only works if they are all doing the same thing. They are not. Scheduling, analytics, hashtag research, design, influencer marketing, and bio links get sold under one phrase and do not feed each other. Prices are only comparable inside a group.
So here are 17 sorted into those six jobs, with what each costs and where each stops. The mistake we keep seeing is buying a suite for all six when you only do two. Write down the jobs that are actually yours, then compare only inside those.
A few numbers worth knowing
- Instagram Insights keeps 90 days, then deletes permanently, and Story metrics go after 14 days. That one limit is the most common reason anyone here gets paid.
- Meta Business Suite schedules Instagram from desktop for free, capped at 25 posts a day per account, 75 days ahead, one at a time with no bulk upload.
- Entry prices run from free to $179/month, and the spread is about which group a tool is in, not how good it is.
The 17, grouped by job
Scheduling and content planning (calendars, publishing, approvals)
SocialPilot
- Price: Essentials $25.50/mo up to Ultimate $170/mo billed annually, or $30 to $200 monthly. Premium at $85 covers 25 accounts and 6 users.
- Features: One calendar across all accounts filtered by client, bulk CSV scheduling, first comment, white-label reports under your own name.
- Catch: No link-in-bio and no influencer tooling, hashtag support generates tags rather than researching them, and customers do report publishing errors. Not the cheapest way to schedule either; that is Meta Business Suite, free.
Later
- Price: Starter $25/mo, $18.75 annually, Growth $50, Scale $110. One social set is 8 profiles, so you are billed per brand.
- Features: Visual grid planning, Link in Bio from the entry plan, two years of history on Scale.
- Catch: Cluttered on desktop, Starter analytics stop at three months, barely past Instagram's free 90 days, and six unrelated clients pushes you to Scale.
Buffer
- Price: Free for 3 channels, Essentials $5/channel/month, Team $10/channel/month.
- Features: Plain queue scheduling, 10 posts per channel free, and Insights analytics now free across every tier.
- Catch: Per-channel pricing inverts as you grow; nine channels is $45/month for one user, no hashtag research, and the legacy REST API retires on 1 February 2027.
Analytics and reporting (measurement, benchmarking, client reports)
Agorapulse
- Price: $79/seat/month billed annually, $99 monthly. Ten profiles in every named tier.
- Features: A unified inbox, Competitor Listening with Share of Voice, Report Studio with branded PDF export, PulseLink in Bio bundled.
- Catch: Per seat, so three people on Standard is $237/month. Report Studio is Advanced and Tailored only, and the listening add-ons are demo-gated with no published price.
Iconosquare
- Price: Launch EUR 33/mo, Scale EUR 69, Excel EUR 116, plus EUR 16 per extra user. Free tier of 2 profiles.
- Features: The deepest Instagram-native metrics here, with unlimited competitor benchmarking and retention in Excel.
- Catch: Every plan caps at five profiles until Custom at 20+, euro-only billing means exchange-rate drift for US buyers, and accounts need reconnecting often.
Socialinsider
- Price: Adapt $82/mo up to Predict $199, with 20 accounts on the entry plan.
- Features: Pure analytics and benchmarking, four times the profiles Iconosquare allows below Custom, with exports.
- Catch: It does not publish, so it is always a second tool. History is tiered at 3, 6, and 12 months, so if year-over-year is the point, your real entry price is $199.
Hashtag and trend research (which tags carry reach, which are saturated)
RiteTag
- Price: $49/year, roughly $4/month.
- Features: A browser extension suggesting tags for text or an image, color-coded by live engagement, with saveable sets.
- Catch: Reports are billed separately by data volume, so $49 is a floor, not a ceiling; there is no pricing page of its own, and the interface has not changed in years.
Flick
- Price: From GBP 11/mo, extra profiles GBP 4, Agency GBP 55, 7-day trial.
- Features: Real research rather than suggestions, with collections, CSV export, performance tracking, and it schedules too.
- Catch: Solo caps at 30 scheduled and 30 tracked posts a month, with pounds-only billing and basic analytics.
Keyhole
- Price: From $179/mo for three trackers, no free plan.
- Features: Real-time hashtag and campaign trackers, six months of history, and signals telling you when to retire a tag.
- Catch: Sixteen times Flick's entry price for a narrower job, no mobile app, and since the Muck Rack acquisition, the trial routes to a sales form.
Design and editing (making the asset)
Canva
- Price: Free, Pro around $18/mo or $12 annually, Business near $25/user.
- Features: Templates pre-sized to every Instagram format, Magic Resize, Background Remover, brand kits, a planner that publishes.
- Catch: Magic Resize and Background Remover both sit behind Pro, and those are the two features Instagram work needs most. The planner is also not a real approval calendar.
Adobe Express
- Price: Free, Premium $9.99/mo, Teams from $4.99 the first year, renewing at $7.99.
- Features: 100,000 templates and a million Adobe Stock assets free, plus scheduling to one account per network, three on Premium.
- Catch: Three accounts per network means no agency use case survives it, generative credits run out mid-project, and the templates are less Instagram-tuned than Canva's.
Instasize
- Price: Free for resizing, cropping, text, and layers; Pro from $40/mo on AI-credit tiers.
- Features: Mobile-first editor on iOS, Android, and web, with unlimited free resizing and cropping and no watermark.
- Catch: $40 is more than double Canva Pro for a narrower tool, and there is no scheduling, no collaboration, and no brand kits.
Influencer marketing (finding, vetting and paying creators)
Upfluence
- Price: Quote only, twelve-month minimum on annual plans, and the trial unlocks only after a consultation call.
- Features: 14M+ creator profiles, lookalike search, audience vetting, creator CRM, Shopify and Amazon sales attribution, no cut of your sales.
- Catch: List and campaign organization is clunky, and reviewers report contracts auto-renewing with the clause buried in the terms.
Aspire
- Price: Quote only. Capterra estimates around $2,499/month, a third-party figure rather than Aspire's own.
- Features: Creator discovery, campaign workflow, content rights, and creator payments handled in-platform.
- Catch: Built for continuous funded programs rather than one-off collaborations, and you need procurement involved before you can even evaluate it.
Meltwater
- Price: Quote-only and module-based.
- Features: Social listening on every tier, media monitoring, influencer marketing as one module among many.
- Catch: Influencer marketing is gated to Enterprise and Agency, so the entry price for the job you want is the highest here. Contracts also auto-renew without 90 days' notice.
Bio links (one link turned into a page)
Linktree
- Price: Free, Starter $8/mo, Pro $15, Premium $35, up from $5, $9, and $24 before November 2025.
- Features: Unlimited links and basic analytics free, with design control and link scheduling on paid.
- Catch: The commerce fee matters more than the plan: 12% on Free, 9% on Starter and Pro, and 0% only on Premium, so Premium at $35 beats Pro at $15 once you sell.
Milkshake
- Price: Free, Lite $2.99/mo to remove branding, up to $8.33, Pro+ $99.99/year.
- Features: A multi-page, card-based mini site built on your phone, with unlimited links and 30 days of free analytics.
- Catch: iOS and Android only, with no desktop editor; free analytics stop at 30 days; and team collaboration does not exist.
What we'd actually tell someone
- If you run one account and nobody asks for a report, pay nothing. Meta Business Suite schedules, Insights reports, Canva designs, Milkshake does the bio link, all free.
- The moment somebody asks how this December compared to last December, that is the 90-day wall, and it is why most people start paying. Iconosquare on Excel for unlimited retention, or Socialinsider Predict at $199 for 12 months plus benchmarking.
- Running client accounts with approvals and reports under your own name? Check how the tool bills before the features. SocialPilot is $85/month flat for 25 accounts and 6 users, against $79 per seat on Agorapulse ($237 for three) and $45 for nine channels on Buffer.
- If hashtags and posting are your only two jobs, Flick at GBP 11 does both, one subscription instead of two. Keyhole at $179 is for agencies tracking named client campaigns, nobody else.
Do not make an influencer platform your first purchase. All three are quote-only, two assume a funded program already exists, and none publishes anything.
One thing we are genuinely curious about. For anyone running more than two Instagram accounts, which cap did you hit first, profiles, seats, or analytics history? We keep assuming seats and the complaints we read keep pointing at profiles.
