What is a Vet AI Scribe? Everything You Need to Know

If you've been hearing about AI scribes in veterinary medicine but aren't sure what they actually do or whether they're worth trying, this post covers everything.

What is a vet AI scribe?

A veterinary AI scribe is software that listens to your appointment, transcribes the conversation, and automatically generates structured clinical notes — typically a SOAP note — without you having to type anything.

You record the appointment on your phone or computer. The AI processes the audio, extracts the relevant clinical information, and produces a formatted note ready to review and sign.

How does it work?

The basic workflow is:

  1. Record — tap record on your phone or desktop at the start of the appointment
  2. Consult — conduct your appointment normally, speak naturally
  3. Stop — tap stop when the appointment ends
  4. Review — your SOAP note appears, usually within 30-60 seconds
  5. Edit — make any corrections
  6. Export — sync or copy the note into your PIMS

Most vets report saving 10-15 minutes per appointment. For a vet seeing 20 patients a day that's 3+ hours saved daily.

What does a vet AI scribe actually generate?

Depending on the product, AI scribes can generate:

  • SOAP notes — Subjective, Objective, Assessment, Plan
  • Discharge instructions — client-facing summaries
  • Treatment plans
  • Surgery reports
  • Referral letters
  • Call summaries

SOAP notes are the core feature across all products. Discharge instructions vary significantly in quality between providers.

How is it different from dictation software?

Dictation software like Dragon converts speech to text — you still have to structure the note yourself.

AI scribes go further. They:

  • Listen to a full conversation between vet and client
  • Extract the clinically relevant information
  • Structure it into SOAP format automatically
  • Generate the Assessment and Plan sections
  • Produce discharge instructions separately

You don't dictate into a template. You just talk naturally and the AI figures out the structure.

Do they work with my practice management software (PIMS)?

This varies by product. Some AI scribes integrate directly with your PIMS via a Chrome Extension or API, allowing one-click syncing of notes. Others require copy-pasting.

Common PIMS that AI scribes integrate with include ezyVet, Pulse, Navetor, VetPort, Cornerstone, AVImark, ImproMed, Shepherd, Vetspire and others.

If PIMS integration matters to you — and for most vets it does — check compatibility before committing to any product.

Do they work in languages other than English?

Most early vet AI scribes were English-only. That's changing fast.

Some products now support recording in multiple languages and generating notes in a different language than the spoken consultation. For example recording a Spanish-speaking appointment and generating the SOAP note in English.

If you work with non-English speaking clients this is worth checking carefully — language support varies significantly between products.

Is patient data safe?

Legitimate vet AI scribe products are HIPAA-compliant and encrypt audio and data in transit and at rest. Most do not store audio recordings after the note is generated.

Before using any AI scribe you should:

  • Check their privacy policy
  • Confirm data is encrypted
  • Confirm where data is stored (US, EU etc)
  • Check whether audio is retained or deleted after processing

How much do vet AI scribes cost?

Pricing in 2026 ranges from free to $200/month per vet:

  • Free tiers — some products offer limited free notes
  • Entry level — $50-79/month
  • Mid range — $99-119/month
  • Premium — $135-200/month

Most products charge per vet per month. Some charge per clinic regardless of vet count.

Are they actually worth it?

The ROI math is straightforward. If a vet saves 2 hours per day at even $60/hour clinical value, that's $120/day saved. At $50-100/month for the software the payback is less than one day's work.

The harder question is adoption. AI scribes only save time if vets actually use them consistently. Products that are simple to set up and fit naturally into existing workflows tend to get used. Complex onboarding often leads to abandonment.

The best way to evaluate any AI scribe is to trial it during real appointments for at least 2 weeks before deciding.

What should I look for when choosing one?

  • Note quality — especially discharge instructions, not just SOAP notes
  • PIMS integration — does it work with your specific software?
  • Language support — does it handle your client population?
  • Mobile app — can you record on your phone during appointments?
  • Price — per vet or per clinic?
  • Free trial — can you test it properly before paying?
  • Reliability — does it consistently generate notes or fail intermittently?
